Maintenance Service - Office Coordinator
Automation Personnel Services is seeking a Maintenance Service Coordinator to support internal and external processes related to parts and supply management, purchasing, invoice processing, and customer service. This role requires effective communication with all employees and external customers to provide updates on service status and related activities. The Maintenance Service Coordinator will also assist and support the Area Supervisor and assigned Lead Technicians in ensuring compliance with service and safety-related Key Performance Indicators (KPIs) through effective communication, scheduling, and tracking.

$25-$27 per hour

Mon-Fri 7:30am to 5:00pm
Maintenance Service - Office Coordinator Duties and Responsibilities
- Invoice Management: Open, process, and accurately manage all Purchase Order activities, including reviewing and coding invoices for timely and precise payment. Ensure all invoices are processed correctly and promptly.
- Microsoft Systems Utilization: Use Microsoft applications (e.g., Excel, Outlook) for tracking and managing inventory, processing purchase orders, and communicating with customers and vendors.
- Parts Ordering and Management: Oversee the ordering of parts and supplies, ensuring that procurement is timely and cost-effective. Manage core returns, track parts, and handle obsolete inventory.
- Repair Order Oversight: Monitor shop repair order activities to ensure timely and accurate processing. Provide estimated repair costs to customers and handle repair orders efficiently.
- CONA-COUPA System: Perform purchasing tasks in the CONA-COUPA system, including receiving supplies, reviewing and coding invoices, and processing all related financial transactions.
- Customer and Vendor Communication: Log, track, and follow up with customers. Communicate with vendors, assign repair orders, and track assets sent to external third-party vendors for repair if not handled in-house.
- Workflow Coordination: Maintain daily open communication between service coordinator activities and the shop lead to ensure smooth workflow and efficient operations.
- Asset Management: Assist with asset disposal and yard upkeep, working with the area supervisor and asset lifecycle administrator.
Qualifications
- Minimum of 12 months of relevant experience in a similar role.
- Previous maintenance experience required.
- Strong communication skills with both internal and external customers.
- Excellent computer skills, including proficiency in TMT management programs, CONA internal invoice programs, and Outlook for email communications.
- Understanding of parts management systems, inventory control, and purchase/repair order processing.
- Ability to work effectively and collaboratively with team members and customers.
